Syllabus ("we," "us," or "our") operates the Syllabus platform at syllabuslabs.com (the "Service"), an AI-powered language assessment platform that provides practice tests for exams such as IELTS and TEF Canada. This Privacy Policy describes how we collect, use, share, and protect your personal information when you use our Service.

By creating an account or using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Service.

1. Information We Collect

We collect information that you provide directly, information generated through your use of the Service, and information collected automatically from your device.

Account Information

  • Name, email address, and password when you create an account
  • Billing information processed through our payment provider (Stripe)
  • Profile preferences, including language selections and exam targets

Test Data

  • Your responses to reading, listening, writing, and speaking practice tests
  • Audio recordings submitted during speaking assessments
  • Scores, feedback, and performance analytics generated by our AI systems
  • Progress history and test completion records

Usage Data

  • Pages visited, features used, and actions taken within the Service
  • Session duration and frequency of use
  • Referral source and navigation paths

Device and Browser Information

  • IP address, browser type and version, operating system, and device type

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Provide and operate the Service — deliver practice tests, generate scores, and display your progress over time.
  • Generate AI-powered scores and feedback — process your test responses through AI and large language model (LLM) systems to produce detailed scoring and personalized feedback.
  • Improve scoring accuracy — analyze aggregated and anonymized assessment data to refine and improve the quality of our AI scoring models.
  • Analytics and product development — understand how users interact with the Service so we can improve features, fix issues, and develop new functionality.
  • Account and billing communications — send transactional emails related to your account, subscription, payment confirmations, and important service updates.
  • Security and fraud prevention — detect and prevent unauthorized access, abuse, or fraudulent activity on the platform.
  • Legal compliance — fulfill our obligations under applicable laws and respond to lawful requests from authorities.

3. AI Processing

AI processing is a core component of the Syllabus Service. When you take a practice test, your responses are sent to AI and large language model (LLM) systems to generate scores and detailed feedback. This section explains how that processing works.

How AI scoring works

  • Written responses (reading and writing tests) are evaluated by AI models that assess accuracy, coherence, grammar, vocabulary, and task achievement.
  • Audio recordings from speaking tests are first transcribed into text, then evaluated by AI models for fluency, pronunciation, grammar, and lexical resource.
  • Listening test responses are scored programmatically against correct answers, with AI generating explanatory feedback.

Data used for model improvement

We may use anonymized and aggregated test data — stripped of personally identifiable information — to improve the accuracy and reliability of our scoring models. Individual test responses are not used to train general-purpose AI models. We do not sell or license your test responses to third-party AI providers for their own model training purposes.

Third-party AI providers

We use third-party AI and LLM providers to power our scoring and feedback systems. These providers process your test data solely on our behalf, under contractual obligations that restrict them from using your data for any purpose other than providing the service to us. We select providers that maintain appropriate security and privacy standards.

4. Information Sharing

We do not sell your personal information. We share your data only with the following categories of service providers, and only to the extent necessary to operate the Service:

  • Authentication provider — to manage account creation, login, and identity verification.
  • Stripe (payments) — to process subscription payments and manage billing. Stripe receives your payment details directly; we do not store full credit card numbers on our servers.
  • AI and LLM providers — to process test responses and generate scores and feedback, as described in Section 3.
  • Analytics services — to collect aggregated usage data that helps us understand how the Service is used and where we can improve.
  • Cloudflare (hosting and CDN) — to deliver the Service securely and performantly. Cloudflare may process certain request-level data (such as IP addresses) as part of its infrastructure services.

We may also disclose your information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect the rights, safety, or property of Syllabus, our users, or the public.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Service. Specifically:

  • Account data is retained for the duration of your account and deleted within 30 days of account closure, unless retention is required by law.
  • Test responses and scores are retained while your account is active to enable progress tracking, score history, and performance analytics.
  • Audio recordings from speaking tests are retained for scoring and review purposes while your account is active.
  • Usage and device data is retained in aggregated form for analytics purposes and is not linked to your account after deletion.

You may request deletion of your data at any time by contacting us at privacy@syllabuslabs.com or through your account settings. Upon receiving a verified deletion request, we will delete or anonymize your personal data within 30 days, except where retention is required by applicable law.

6. Your Rights

Depending on your location, you may have some or all of the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request that we correct inaccurate or incomplete personal data.
  • Deletion — request that we delete your personal data, subject to certain legal exceptions.
  • Data portability — request an export of your data in a structured, commonly used, machine-readable format.
  • Opt out of marketing — unsubscribe from promotional emails at any time using the link in any marketing email, or by updating your notification preferences in account settings.
  • Withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

7. Cookies and Tracking

We use cookies and similar technologies to operate and improve the Service. Here is how we categorize them:

  • Essential cookies — required for authentication, session management, and security. These cannot be disabled without breaking core functionality.
  • Analytics cookies — help us understand usage patterns and improve the Service. These are optional and can be declined through your browser settings or our cookie preferences.

We do not use third-party advertising cookies or allow ad networks to track you across the Service. We do not participate in interest-based advertising programs.

8. Children's Privacy

The Service is intended for users aged 13 and older. We do not knowingly collect personal information from children under the age of 13. If we become aware that we have collected data from a child under 13, we will take prompt steps to delete that information.
